ITAM Releases and News

We are pleased to announce the release of SimpleOne ITAM – a new product for asset tracking and management in organizations.

With SimpleOne ITAM, you can perform operational asset accounting (including IMACD procedures: Install, Move, Add, Change, Dispose), carry out various asset operations throughout their entire lifecycle, and generate reference data supporting asset management processes. The application is developed in accordance with the GOST R ISO/IEC 19770-1-2021 standard.

The first release of ITAM provides users with the following capabilities:

  • Maintain records of assets in the Asset Management Database (AMDB).
  • Create and structure a nomenclature directory, defining characteristics applicable to assets of each nomenclature type.
  • Register assets and track expenses for asset batches.
  • Manage asset storage, including warehouse accounting and inventory checks.
  • Track changes in asset status and attributes.
  • Initiate, approve, and execute tasks for asset modifications. Available task types include:
    • Registration
    • Issuance to end user
    • Modernization
    • Repair
    • Inventory
    • Change of material responsibility officer
    • Warehouse transfer
    • Disposal
    • Decommissioning
    • Transfer to external environment
  • Maintain documentation confirming operations related to assets.
  • Manage asset contracts, including registration, approval, and monitoring of contract validity periods.

The application supports concurrent operation by multiple agents handling large volumes of assets across different tasks, addresses complex scenarios, and includes safeguards against incorrect user actions.

For user convenience, the application includes various widgets, such as:

  • Barcode widget with printing capability
  • Batch consumption widget
  • Inventory results display widget
  • Asset status change progress widget
  • Asset addition widget for tasks with filtering by selected criteria and bulk addition
  • REM attributes display widget for configuration items on the asset form

Integration with ITSM is also available, providing additional capabilities for customers who have both applications installed:

  • Establish relationships between ITAM assets and ITSM configuration items.
  • Approve ITAM tasks within service requests and change requests.

A demo data package (available upon request) is provided for ITAM to help users understand the application’s capabilities and workflow.

In the new version of SimpleOne ITAM, functionality has been introduced to notify users about changes occurring with tasks and assets. A new task for returning assets to stock has been added, along with significant improvements to the asset allocation task. To enhance usability, we have also updated the role model.

New Functionality

ITAM Email Notifications

We have implemented events for use in custom email notifications to ensure recipients receive timely and accurate information regarding ITAM tasks. Notifications will be sent when significant fields on the asset form change, as well as when asset or task statuses are updated. For example, when a new user is assigned to a task, they will receive a corresponding notification. Learn more in the documentation.

Return Asset to Stock Task

We have introduced the ability to return assets with remaining useful life back to stock for more efficient asset management—for example, in cases of employee termination or prolonged absence. The Return Asset to Stock / Return to Stock task can be created from either the asset form or the asset list. Learn more in the documentation.

Improvements

Asset Allocation Task

  1. Pending Approval Status

We have added mandatory approval for asset allocation by material responsibility officers or other approvers in the Asset Allocation task.

Once the approval request is submitted, the list of assets in the task cannot be modified. Approval is mandatory to complete the task. If approval is denied, the task will revert to the Registered status.

This change formalizes the asset allocation procedure and simplifies oversight by material responsibility officers.

  1. Location Field

We have implemented logic to specify the location of stationary assets during allocation.

If an asset is stationary, the executor must specify its location in a modal window upon task completion. The value will appear on the form of issued stationary assets in the Location field.
If the asset is not stationary, the Location field will be automatically populated with the value from the corresponding User form field.

This change enables precise tracking of the location of issued stationary assets.

Role Model

The role model has been optimized: restrictions on reading warehouse records for users with the itam_contract_manager role have been removed. Basic read access requires only the itam_agent role.

Fixes

DEF0018457: Configured the behavior of the Allocate to and Stock fields in the Asset Allocation task to prevent modification without mandatory subsequent approval. After task approval, these fields become read-only.

DEF0018276: Improved the inventory file processing algorithm: upon upload, the file content is checked for duplicate inventory numbers. If duplicates are detected, a corresponding warning is displayed.

DEF0018176: Fixed an issue where, when creating an Asset Upgrading task from an asset form, the User field was not populated.

ITAM 1.2.4 has been released.

This ITAM update introduces new functionality that eliminates the need to manually create an asset list during inventory, as well as a status model for nomenclatures that prevents registration of assets with outdated nomenclatures.

We have made the documentation for upgrading to new ITAM versions more user-friendly. Please note that when upgrading to ITAM 1.2.4, you should assess the need for and perform additional actions to ensure the upgrade proceeds seamlessly for end users.
