New version of SimpleOne HRMS 1.2.0

In version 1.2.0, we added the ability to track changes in employment contracts from the moment a candidate is hired until their departure. To evaluate candidates’ knowledge and skills, we introduced hiring criteria. These criteria can be associated with individual candidates or employees, as well as with job openings and candidate review tasks.

Improvements were made to position slot management to enhance budget owner oversight of hiring. We also updated new employee onboarding requests to make it easier for HR agents in organizations consisting of multiple companies to process such requests.

In this update, we continued expanding the functionality of HR forms in the Test category by updating the Assessment widget and enabling any system user to be assigned as a reviewer for tests.

New Functionality

Employment Contracts

In the new version of HRMS, we added the ability to track changes in employment contracts between companies and their employees.

The Employment Contracts table (hrm_employment_contract) now contains not only records of current employment contracts but also records from a new child table, HR Changes (hrm_employment_change). Creating an employment contract, modifying it, or terminating an employee with an active contract automatically generates a new HR change record.

The list containing only current employment contracts remains available under Human Resources ManagementHiring and TerminationEmployment Contracts. The new list, containing only HR change records, is located under Human Resources ManagementHiring and TerminationHR Changes.

Hiring Criteria

In this version of HRMS, we introduced a new entity: Hiring Criteria (hrm_hiring_criterion). Hiring criteria allow evaluation of candidates’ knowledge and skill levels required for a vacant position within the Candidate Review task.

Linked lists for hiring criteria have been added to the forms of the Candidate Database (hrm_applicant), Job Openings (hrm_job_post), and Candidate Reviews (hrm_applicant_submission) tables.

Improvements

Position Slot Access Changes

In the new version, we restricted access to operations on Position Slots (hrm_position_slot) records to strengthen budget control. Now, users with the hrm_manager role and hiring managers can assign an employment contract on the position slot form only after the slot has been approved by the budget owner (hrm_budget_owner).

We also updated the color model for statuses of core HRMS entities.

Hiring Request

Another key update concerns access to creating new employee onboarding requests. Now, this service is available to managers at any organizational level and their deputies; other users must have the special roles hrm_agent or hrm_supervisor.

Additionally, in this version, when creating a new employee onboarding request, you can select any company registered in the system. Furthermore, in the agent interface, two new fields are now displayed: Applicant Company and New Employee Company.

HR Test Form Functionality

  1. Assessment Widget

In the updated Assessment widget, test authors now only need to specify the minimum score range. The upper score is calculated automatically. We removed the Min Score and Max Score fields and replaced them with a new field: Min Score.

  1. Fields

In the new version, respondents can view correct and incorrect answers to test questions if the test is configured for single completion only.

The number of retakes can now be limited. To do this, fill in the new field Number of Retakes, which appears when the Allow Retake checkbox is enabled.

  1. Reviewers

Now, any assigned user can review instances of HR Test forms. To enable this, we added a new Reviewers field to the Launch form (hrm_form_launch). This field is mandatory if the question review type is set to Manual.

After a respondent submits a completed form, the reviewer receives an email notification and can review the submission via the portal or agent interface, leaving comments for the respondent.

  1. Review Type

The Review Type field on the Question form (hrm_form_question) no longer requires manual input. It is now automatically populated based on the selected answer format.

  1. Test Key

We added a new Test Key field to the Question form (hrm_form_question) for questions with answer formats Extended or File Upload. If this field is filled, reviewers can compare the respondent’s answer with the test author’s intended answer.

  1. Answer Option Points

We moved the Points per Answer Option field from the Answer Option form (hrm_form_response_option) to the Question form (hrm_form_question). This field appears when the selected answer format is Single from List or Multiple from List. All correct answer options carry equal point weight.

Now, users only need to specify the point value for an answer option once per question.

  1. Status Model

Due to expanded functionality of HR Test forms, a dedicated status model has been introduced for their Instances (hrm_form_instance). Learn more about it in the documentation article.

  1. Employee Profile and History

For improved interoperability between HRMS and Simple applications, the Organization unit view in the Employees (employee) table has been renamed to HRMS.

Additionally, on the Employee History (hrm_employee_history) forms, the Department field has been replaced with Direct Department.

We also expanded demo and master data in this version.

Fixes

DEF0022402: Fixed an issue where selecting employees across multiple companies displayed a total respondent count of zero.

DEF0021157: Fixed a defect causing an empty list of records for the mandatory Position Slot field when creating a new employee onboarding request.

DEF0021031: Fixed a defect allowing users with the hrm_manager role to take on absence requests without requiring re-approval.
